Depository And Access Program

For decades, microfilm has been the medium of choice for archiving and preservation of serials collections. Today, libraries continue to face space and resourcing issues related to the storage of extensive physical serial collections. NA Publishing provides a sustainable model for the storage and continuing access of serials from the microform collections of today’s library, while simultaneously providing an option allowing additional serials to be added and made part of the deposited collection.

Fast Facts

  • Allows libraries to deposit their set of core serials in microform collections in an offsite facility.
  • Publishing support for requests for access to the contents of those deposited materials, including supplying digitally scanned images of requested journals via email or photocopy delivery.
  • Ensures libraries retain ownership of the materials.
  • Allows libraries to continue to add to and access those serial collections, without the required effort to catalog and store materials.

Selection Criteria & Holdings Analysis

  • As an initial step, libraries identify title holdings in their full library data set, and select serials for analysis and potential transfer into the Depository & Access Program (DAP).
  • Analysis includes identification of title gap details and evaluation of gap needs.
  • Present title access options to the library based on titles holdings analysis.
  • Results define final title list of serials volume years, of each serial to be included and stored as part of the libraries DAP collection.

Serials Acquisition – Adding Titles

  • Libraries may continue with their existing microform renewals and choose to have those incremental volume years automatically added to and made a part of their collection.
  • NA Publishing will provide modified MARC records for added serials in order to support the library’s cataloging efforts.
  • Libraries may select additional available titles from NA Publishing to be added to the deposited collections.

Serials Collection Storage Location & Preservation

  • NA Publishing is located at 6564 South State Road, Saline, MI – just outside of Ann Arbor, MI.
  • Microfilm DAP collections are stored in an environmentally controlled building with optimal temperature and humidity conditions for long-term preservation.
  • Preservation quality storage enclosures.
  • Fire protection and secured access.

Information Access & Delivery Options

  • Issue-level modifications to MARC records facilitate cataloging of publication titles.
  • Request delivery of a title on microfilm at the volume or issue level.
  • Request an item via NA Publishing’s service – upon request, NA Publishing will provide a scan on demand and email you a copy of the request in a PDF format, or alternatively mail a hard copy of the requested materials.
